APPOINTMENT SCHEDULING TIPS

We are no longer accepting new patients

due to clinic closure end of 2022.


To #DoYourPart and help prevent the spread of COVID-19, we encourage visits to be via Telemedicine when they can, please! #MaskUp

WHY: because we care about YOU, we care about our OTHER patients, we care about our STAFF ( & their loved ones/families) and we care about reducing the spread to others/strangers. We’re trying to do our part to reduce the spread of COVID-19!

Women’s Health

  • EXISTING PATIENTS: whenever a visit can be virtual/”TeleVISIT” instead of in-person, we’re encouraging patients to do A TELEVISIT (even though we’d really really love to SEE YOU IN-PERSON!).

    • Reminder: certain visits need to be in person, like a well woman exam, skin check, and more.

Mental Health

  • Telemedicine visits are available for all genders.

    • We do not offer in-person visits with our psychiatric mental health nurse practitioner.

Physical Therapy

  • physical therapy visits are best in-person, but if after initial visit, you need to make some of your visits telemedicine, that can be accomodated.

    • These visits are available for all genders.

Blood Draw

  • we offer blood draws onsite FOR EXISTING PATIENTS, WHICH IS billed through labcorp.

    • If an SWMC provider has ordered labs for you, send a portal message to your care team to schedule your blood draw - unfortunately these cannot be scheduled online.

Vaccine Visit

  • WE OFFER “VACCINE ONLY VISITS” FOR EXISTING PATIENTS

    • Send a portal message to your care team to schedule your “Vaccine Only Visit” - unfortunately these cannot be scheduled online.

    • If you are “out of network” with SWMC, we advise you receive your immunizations through an in-network provider or pharmacy.

Existing Patients

If you’re not seeing available appointments…

make sure to select the correct appointment type

For example there are more scheduling options for televisits, as well more times offered for established patients:

  • Existing/Established patients: We like to honor and respect your continuity of care and patient/provider loyalty, thus we block appointment slots for returning patients.

    • If you accidentally schedule with an “existing patient” appointment and you’re a new patient, we will not be able to see you and will cancel your appointment as we are NOT accepting new patients.

If you are unable to find an opening as soon as you’d like:

  • Schedule the next available opening that works with your schedule

  • Then please go into your AdvancedMD patient portal , and send us a secure message notifying us you’re hoping for a sooner appointment (put any specifics that will help us fit you in appropriately, ie “I work 7am-2pm Mon, Wed, Fri”, “I can divide it into 2 visits, 1 for my IUD insert and another to discuss meds/labs, etc”).

  • We will add you to our cancellation list and hopefully be able to accommodate your request, we apologize in advance if we cannot.

Insurance is a complicated industry to navigate and since each plan is unique, we cannot guarantee coverage for patients.

  • Ultimately, it is your responsibility to confirm coverage with your plan.

  • Then, we suggest using the # on the back of your insurance card to confirm we’re in network.


For Those Whom SWMC is “Out of Network” Or Uninsured

OH NO, YOUR PLAN IS NOT LISTED ABOVE… DON’T WORRY.

  • When you have insurance, but not a plan we accept, you can receive care at the cash rate (due at time of service).

    • Then, you submit a “Superbill” to your insurance plan for reimbursement of some or all of the costs.

  • You’ll want to know through your insurance plan what your “out of network” reimbursement rate is.

    • If your reimbursement rate is 90% for example and your clinic fees are $200, you’ll pay the clinic $200 at time of service, receive the “superbill” receipt, submit it to your insurance and they will reimburse you for 90% of $200, so $180, therefore YOUR out-of-pocket fees in the end are $20.

YOU DON’T HAVE INSURANCE?

  • We offer cash rates, which are due at time of service. Email us to inquire about this option.

WHY DOES SWMC NOT TAKE YOUR INSURANCE?

  • Insurance companies compensate healthcare providers/facilities differently and SWMC has chosen to contract with payors (insurers) that reimburse the clinic fairly and appropriately for the services we provide.  A great quote in a helpful article on this subject (Which Doctors or Healthcare Facilities Accept Insurance Varies) explained it well in non-medical terms:

    • "Here's another way to think about it. Suppose you went to work and did your job well. When it came time to get your paycheck, your employer told you he had decided your services weren't really worth what you expected to be paid, so he was going to begin paying you less. Take it or leave it. That's the position doctors are put in by payers each year."
